Below you will find some frequently asked questions about AimStar advanced recruitment software.

Installation

Q: How to I get AimStar installed?

A: AimStar can be installed online by one of our technicians. The installation for a single user normally takes just minutes depending on how your workstation is set-up. Installing AimStar on a network usually takes a little longer, and is best achieved with the help of your network company.

Q: How quickly can I have the software installed?

A: Normally, from the return of a signed purchase order we can implement software and training within days. Of course, this partly depends on the size of your company, number of users, office set-up and your network company.  Once you have furnished us with the required information we will be able to prepare you a detailed quote, and installation and training plan.

Training

Q: Once I have AimStar installed do I really need training to use it?

A: AimStar provides comprehensive documentation for AimStar, which is available online, and within the program. However, training is highly recommended to ensure you gain maximum value from the software in terms of time-savings and process efficiencies from the moment of installation.

Q: How is training delivered?

A: For bigger companies with several consultants, training is usually provided on-site. For single remote users, training can be provided online. A single day's training is usually sufficient to get you started. Additional training can always be scheduled at a later date. Our training sessions cost $550 per day for sales consultants (maximum of 4 people per on-site session). AimStar also offers administrator and superuser training (training your internal trainer).

Q: What does a day's training cover?

A: One day's sales consultant's training on the database includes:

Price

Q: How much does your recruitment software cost?

A: AimStar costs $695 per user license (thus, Single-user cost = $695; Multi-user cost = $695 x number-of-users, the Server counts as ONE USER). This is a one time cost to your business. AimStar charges NO annual license subscription fees like many of our competitors. However, major upgrades may require a small upgrade fee.

Q: Do you charge for installation?

A: Installation of our recruitment software is FREE. However we do charge for our technician's time on those occasions when they have to assist a client's network company with a major installation.

Q: How much is training?

A: AimStar offers a number of training options to suit your business needs. We offer 1 day's sales consultant training (maximum of 4 people per session) for $550. We offer advanced administrator training for $650 per day. We also offer super user training (training someone internally to handle your on-going training needs) at $650 per day. Super user training is exceptionally good value for recruitment companies and HR departments that anticipate rapid growth in their user base.

Technical support

Q: What technical support do you offer?

A: AimStar recently introduced a new 3 tier technical support (email, telephone, remote online), software maintenance and upgrade package at just $75 per user per month. This entitles you to unlimited support plus all the latest software releases without any additional costs. Currently technical support is provided from Monday to Friday 9am-5:30pm EST. This provision can be extended by arrangement.

Import resumes

Q: Can I import resumes directly into your recruitment software?

A: The import of resumes is done by storing all incoming resumes into a folder on your workstation (e.g. c:\aims\resumes). You then import them all at once using AimStar's Applicant Exchange In Tray module. This is new feature, soon to be released.

Automatic resume transferral from MS Outlook is one of the new features of AimStar 2.2 which is due for release early in 2007.

Q: How quickly can AimStar import resumes and create new applicant records?

A: Clients who make use of the AimStar Applicant Exchange In Tray report being able to process an average 100 resumes per day into searchable applicant records with resumes ready to send to their clients.

Q: If resumes are imported automatically by AimStar, how does your software know whose resume it is storing?

A: When importing resumes, AimStar shows you exactly what information will be saved into your database before creating new applicant records. This allows you to verify details such as the person's name and contact details. These fields can then be updated if necessary, at the time of import.

Q: How does your recruitment software recognise one applicant resume from another?

A: AimStar uses phrase recognition procedures (amongst other things) to identify information found in a resume, such as the person's full name, email address, home address, telephone numbers and skills. This information can be verified and updated by your consultants before being transferred into your database.

Q: Just how accurate is the applicant information when populated automatically by AimStar?

A: That partly depends on how resumes are formatted in the first place. Cleanly organized and formatted resumes will transfer more accurately to AimStar than disorganized ones. However our software is designed with some clever phrase recognition facilities so it will still be able to extract key information. Finally, you are able to verify and amend the applicant information before a new record is created.

Q: What percentage of the information from a resume is saved by AimStar during import? What happens to the original resume document?

A: A number of basic fields are recorded by scanning the information in the resume, such as the name and address details. This information is then used to create a new applicant record in the database. The original MS Word resume is attached to this new applicant record, ready to be updated and sent to clients.

Data Storage

Q: What is the maximum number of resumes I can store on AimStar?

A: You are only limited by the amount of disk space available to the AimStar Database. You should be able to store hundreds of thousands of resumes while maintaining maximum performance.

Q: In what format does your software store resumes?

A: AimStar stores resumes as MS Word documents that can be regularly updated, printed, emailed and faxed from within the application. The resumes are also stored as searchable text files by the system.

Q: How does AimStar deal with regularly updating applicant resumes?

A: AimStar allows you to retain up several individually tailored and labelled copies of an person's resume attached to that individual's record. You can also choose to simply overwrite a single “Main” resume every time an updated one is received.

Client contact management

Q: Can multiple client locations be recorded on AimStar?

A: Yes, the software allows you to record the client company's parent and branch locations. These related companies are stored in a grid and the relationship can be easily determined.

Q: Is it possible to record a client company's management structure?

A: Client contacts, managers, hiring authorities, can be grouped to reflect your client's organizational structure and hierarchy. This structure is seen whenever you view a client company record.

Q: Can I see the progress of client relationships overtime?

A: Client relationship data can be tracked historically with AimStar so you can view placements made, temps or contractors currently on site and details of terms and conditions, for example.

Q: Is it possible to import prospect data to generate new client sales leads?

A: Using the Client Exchange In-Tray your systems manager can import client and contact data from external sources such as mailing houses, other databases and directly from the Internet. This is a new feature in AimStar and will be available very soon.

Applicants

Q: Are applicants assigned unique reference codes for tracking purposes?

A: AimStar assigns a unique reference code to each new client company, job order and applicant data record automatically.

Q: Are resumes automatically categorized by skill?

A: AimStar highlights required skills within the body of the resume displayed on screen. This feature can be switched on or off as required.

Q: Can consultants own certain applicants on the system?

A: Yes. Applicant records can be owned or assigned to individual sales consultants or teams, and flagged as such.

Q: Does your software let me record where an applicant came from?

A: AimStar allows you to record the original source of an applicant record in either the Source Type or Comment/Note fields. Your systems manager can add, modify and remove source definitions depending on what sort of information you want to gather.

Q: Can I create and save shortlists of applicants that only I can reference?

A: You can create and save numerous applicant shortlists for private, team and general use with AimStar. You can also update shortlists quickly and easily. As you work through a shortlist you can change the status of individual applicant records, from call to consider, reject or send resume, for example.

Q: Can documents be attached to applicants' records such as resumes, contracts, and certificates?

A: AimStar Profile Filelinks allows you to attach numerous documents to any person's record.

Searching for applicants

Q: Once my resumes are on the system, how can I search for an applicant with “project management” skills and “SAP implementation” experience, for example?

A: First, you will need to perform a keyword search for “project management and SAP implementation” (granted that both these terms have been defined as keywords for your system). This will return a number of applicants that match your search criteria.

Next, you will need to review the list of returned applicant records. Then click on Quick Resume Dispatch (select the relevant client) and send the resumes of those applicants you feel are most suitable.

Using the AimStar Match facility, it is also possible for you to match a list of applicants against a specific client or job vacancy. This list can be further refined to only contain those applicants with the most relevant skills and experience to your client's needs, and all their resumes can be dispatched in a single email or MS Word document.

Searching

Q: Can you describe how AimStar search forms are organized?

A: Standard forms include searches for keywords, and fields, from the primary record, and from the related records (comments, resumes). Each search form, Client, Job and Applicant also has its own search defaults. The client search form defaults, for example, include position like, category like and source like. Skills are categorized in groups. Each skill definition accommodates a further skill set. Your systems manager can add, delete and modify search criteria to suit your business needs.

Q: Once I have run a search is it possible to perform a further sub-search of the results?

A: Once you have reviewed the results of an initial search you might decide you want to refine the results further. To do this simply select Search Terms to return to the Query Builder (Search for records form). Modify the terms used before, by entering your new search criteria, and press OK, which will apply your new search criteria to the previous results.

Q: Can I perform a search on more than one category or criteria at a time?

A: AimStar allows you to perform complex searches on multiple criteria e.g. keywords, text from comments and resumes, record fields in a single search.

Q: Do you have an automatic facility for matching applicants to jobs?

A: AimStar Match feature can produce a list of likely applicants for a specific job in just moments. This list can be automatically refreshed (under user control) every time a new applicant with matching skills is entered onto the system, until the job is filled.

Q: Can I save search results so I can return to them at a later date?

A: You can save search results to private or shared folders in AimStar to work on later or update as a task progresses. You can also flag client and applicant records for future actions, such as call or consider.

Handling vacancies

Q: Can AimStar populate new job vacancy records from client information already provided?

A: Yes. Our recruitment software can automatically populate job vacancy data fields, such as company name and address, and especially (most importantly) fee schedule information taken from client data.

Q: Can I track the progress of a job from its record on your database?

A: AimStar enables you to track the status of a job vacancy from when it's first created to interview, offer and placement using the Events tab or the Agenda Screen.

Q: Can I attach relevant documents to job records, such as job specifications?

A: Yes. AimStar allows you to retain copies of all relevant documents relating to each and every job record (as well as People, and Company records of course).

Q: Can job requirements be duplicated, so I don't have to keep entering similar data over and over again?

A: Using the COPY button (on the ADD Joborder form - found also on the People and Company ADDnew forms) within AimStar allows you to duplicate job requirements, saving you the time and tedium of manually entering the same or similar job requirements repeatedly.

Q: Can pre-screening questions be accommodated within the application?

A: Yes, you could either add a pre-screening questionnaire to the relevant job record, or add one as a new form.

Q: How quickly and easily can I produce a list of applicants for a vacancy?

A: To find suitable applicants for a vacant job you can perform a keyword, text from comments and/or resume, or field search from the Search form of AimStar. Alternatively, you can use the Match feature within the Joborder Screen, to produce a list of suitable applicants, displayed on screen within seconds. Applicants on the match list can be quickly and efficiently flagged as Qualify (check qualifications), Clear (consider) and send resume to client. The match list can be saved and refreshed at the touch of a button, ensuring real-time results.

Mail Center

Q: Can I send emails from within AimStar?

A: You can send emails, letters and faxes from within the application. AimStar also offers you an SMS text messaging capability. Every email sent is recorded as a permanent, time and date stamped history note. You will also find all emails logged in the sent folder of MS Outlook.

Q: Do you provide any standard letters or reports?

A: AimStar comes fully loaded with over 30 standard email, letter and fax document templates, from information packs to interview confirmations, that can be dispatched at the touch of a button. Your systems administrator can add, edit and remove document templates as you require.

History Notes

Q: Can I make notes against client, job and applicant records?

A: Certainly. You can make time and date stamped history notes against any record within the database. These history notes provide a permanent record of recruitment activities. What's more, AimStar automatically generates a history note every time a significant recruitment activity is performed, such as sending a resume to a client by email. History notes even retain copies of any documents attached to communications sent.

Workflow

Q: Can I record interview details, along with summaries, comments and action points in AimStar?

A: Our recruitment software offers you ample facilities to record interview and activity notes, schedule next actions and save documents to the appropriate client, job and applicant records.

Q: Can I send standard interview confirmations from within the application?

A: You can send any number of standard documents by email, letter and fax from within AimStar. The software also has an SMS text message capability.

Q: Can standard Terms and Conditions for each client to be archived within the application?

A: Yes, you can archive any number of important documents related to your clients, jobs and applicants in AimStar.

Q: How easy is it for me to book interview appointments using AimStar?

A: Using the Resumes Sent/Interviews facility you can easily book interviews, send confirmations by email, post, fax and SMS text message, record offers and make placements. This advanced all-in-one screen design gives you an excellent desktop planner for ongoing recruitment activities. AimStar allows you to track work flow effortlessly and view progress from any relevant records and through the use of history notes.

Diary

Q: What provision does your software make for booking appointments and activity management?

A: AimStar comes equipped with a diary facility that allows you to plan your workday, schedule sales activities, and arrange interviews. The diary allows you to review scheduled tasks by day, week, month or defined date range. You can schedule in new tasks assigned to specific client, job and applicant records and add notes to your diary entries. AimStar will even remind you of forthcoming events and appointments with a diary alert.

Security & data protection

Q: How secure will my data be using AimStar?

A: The database itself is protected using a password system, but every additional layer of security (secure server and network, VPN, etc.) will ultimately make your data that much more secure.

Q: How does your recruitment software comply with the Data Protection Act?

A: AimStar AimStar is a password protected database that further limits access and command protocols only to your company's administrator or systems manager.  Data held on the system should be regularly backed-up as per CPI guidelines; The software has facilities whereby client, applicant and job data can be regularly screened, modified and deleted by authorized personnel.  Client and Applicant checks are automatically enforced by the software to ensure that relevant documents such as right to work visas have been checked, verified and copies saved to the corresponding records, for example. In all respects our software adheres to the 8 guiding principles of the 1998 Data Protection Act.

Web provision

Q: Can I post job advertisements to the Web from within the application?

A: Using CPI JobStar you can advertise job requirements directly from AimStar onto our fully functional job board.

Q: Can you tell me more about CPI JobStar?

A: JobStar online recruitment software seamlessly integrates with AimStar, creating a fully functional job board that is rich in features, quick to install and easy to administer.

Management reporting

Q: Can your recruitment software produce management reports?

A: AimStar offers you a comprehensive management reporting capability e enabling you to review activity and results at division, desk and consultant level. This helps ensure the effective control of day to day activities, and assist in long term strategic planning. Reports can be exported to MS Excel and PDF.

Administration

Q: Can client, job and applicant data fields be customized?

A: Yes. AimStar incorporates a customisation tool that allows your administrator to customise a wide range of fields and facilities within the application.

Q: Can I make systems wide changes to AimStar?

A: Only your company's appointed administrator can perform system wide customisations, add new users and set user permissions. Individual users have limited ability to change the look and feel of their personal displays. Your administrator can add, delete and modify data fields, drop down menus, document templates and search criteria. They are also responsible for running backups and deletion routines.

Backups

Q: What provisions are there to backup my data?

A: CPI strongly urges you to implement a regular backup procedure. This should be the responsibility of someone within your company, such as your administrator or your networking company. You simply need to back up the central DATA folder of AimStar to ensure that all data, records, resumes, licenses and consultant details get backed up.

Remote Access

Q: Will I be able to access my AimStar office database from remote locations?

A: Remote access is usually achieved using the Microsoft Terminal Server solution. The Terminal Server acts as a normal login server for Internet users, and will allow you to log into your office network as if you were in the office. From there, you follow usual security protocols to access your resume Database. PLEASE NOTE: This remote login procedure depends on the Terminal Server, as well as the remote user, having a broadband connection (512kb or faster) directly to the Internet. You can also use other 3rd-party solutions, such as "GoToMyPC", or "pcAnywhere".

Q: If I update the primary office database, for example, will the information be updated for our remote users and vice versa?

A: Yes. When you access the Database as described above, you are essentially accessing the same data whether you are located in your primary office or working in the field. The update is immediate.
